The incumbent will work as the UCSD Eating Disorder Center's Administrative Staff, providing a comprehensive range of program coordination and general services for all of the UCSD Eating Disorder Center programs. Duties may include, but are not limited to: prescreening clients for admission to programs, maintaining Admissions database, including data entry to track referrals and discharges; interact with the health care community to obtain patient information, epidemiological data, and public health information; maintain admissions records, including financial records; assist patients in locating mental health resources in the community; assist in obtaining insurance authorizations.

The incumbent will be involved in assisting in development of promotional materials; community education about eating disorders and our services, data entry and database management for outreach department, building and maintaining relationships with community providers; responsible for ongoing communication with community providers.

Additionally, the incumbent will be performing support duties, such as working with the Department of Psychiatry and UCSD Health to maintain privileges for all clinicians and assist new clinicians in obtaining privileges, scheduling meetings and maintaining minutes, organizing events including workshops and conferences, managing budgets, billing, reimbursements and other financial matters for events, and database management and data entry, and etc. Perform other miscellaneous duties and responsibilities as assigned.


+ Graduation from high school or a General education Diploma; or an equivalent combination of education and experience.

+ Two (2) years relevant office experience.

+ Experience providing administrative support, including skill to coordinate complex activities and to use independent judgment to organize and prioritize office functions, and to plan and implement procedures.

+ Strong experience managing a complex calendar; proven experience to coordinate meetings, activities, and functions. Ability to coordinate travel arrangements, purchase orders, and reimbursements.

+ Computer literate including knowledge of word processing, spread sheet software, calendaring software, and internet browser applications.

+ Demonstrated experience in communicating clearly, effectively, and professionally on the telephone and in person and take clear and concise messages.

+ Excellent interpersonal/communication skills including tact, diplomacy, and flexibility in working with diverse groups of people and situations.

+ Experience in working independently with minimum supervision, following through on tasks to completion and meeting deadlines in an environment of multiple interruptions and changing priorities.

+ Demonstrated ability to resolve conflicts with creativity, authority, and professionalism; and ability to make recommendations that affect office operations and activities.

+ Demonstrated ability to exercise judgment, discretion, tact, and diplomacy in handling sensitive and confidential matters.


+ Knowledge of the Adolescent Day Treatment Program, the Adolescent IOP Program, the Adult Day Treatment Program, and the Adult IOP Program for effective representation of multiple Eating Disorder Programs.

+ Prior experience with insurance companies and patient billing, taking co pays, tracking payments.

+ Knowledge of UCSD forms and procedures.

+ Knowledge of Epic.


+ Must be able to work various hours and locations based on business needs.
